Departments, Subjects and Examiner Roles

Organize classes or cohorts, add examiners and understand who can access each exam.

Before you start

What you will do

Set up the people and content structure before assigning exams.

Steps

  1. Open Students and find the departments section.
  2. Enter a department name and optional description, then choose Add department.
  3. In the account form, choose the examiner role and enter the name, email and temporary password.
  4. Choose the examiner’s Department and select Add user.
  5. Create or edit student accounts so their Department matches the intended class or cohort.
  6. When creating an exam, review Department, class, or cohort and its student assignment.

What happens next

Departments group students and scope exams. Examiners administer exams in their department or exams they created, subject to application permissions.

Subject is different from department

Subject or Course organizes questions and exams by content, such as Biology. A department groups people and controls exam eligibility, such as Year 10 Science. Free-text class or course-of-study profile fields do not replace the Department selection.

Use the subject/course management section on the Dashboard to create subjects, then select them in Question Bank or exam setup.

Role responsibilities

  • Tenant administrators manage institution settings, billing, departments and accounts as well as exams and grading.
  • Examiners create and manage exams, work with questions, and review results within their permitted scope. Their exam scope includes their department or exams they created; they do not receive tenant-administrator billing or user-creation powers. The Reports page and organization Settings are tenant-administrator tools.
  • Students take eligible assigned or available exams and see their own results. They cannot manage the question bank or other students.

Example setup

Create a Science department, assign the Science examiner and students to it, and organize Biology questions under a Biology subject. Scope the exam to Science, then choose Whole department or Selected students for assignment. An Arts student does not gain access simply because the exam is published.

Tips

  • Set up departments before importing students where possible.
  • Review examiner and student departments when a user cannot see an exam.

Common mistakes

  • Using the subject name as a substitute for the exam’s department scope.
  • Assuming an examiner has all tenant-administrator permissions.
